Sending a quote is often the first digital interaction you have with a potential customer, so it’s important to make the right impression. We’ve made it easy in Xero – you can create a beautiful online quote in minutes, get customers to accept it on the spot, and quickly convert it into an invoice.
To continue improving your experience, we’re introducing an exciting new feature and fresh design to quotes in Xero. This is all part of our work to upgrade the technology that underpins our platform, so we can build new features faster than ever before.
Send files as email attachments with your quotes
In the weeks ahead, we’re rolling out a new feature that will allow you to send files as email attachments with your quotes. This means your customers can open attachments (such as terms and conditions, or a sales brochure) from the email itself, rather than via a web page.
This is a long-standing community request that will help you win new business and close the sale, by sending everything you need in one seamless communication.

The ‘Save’ and ‘Send’ buttons in quotes will also be located in the top right-hand side of the page, rather than below the quote. We’re rolling out this design across the Xero platform, so you may notice it looks similar to new invoicing and other upgraded features.
There are some other changes that you’ll need to know when using quotes in Xero. We know these changes to your workflow may take some time to get used to, but we are always here to support you if you need a hand.
- To add a new inventory item, follow the ‘Add item’ link to the ‘Products and Services’ menu. You will need to refresh the page for the new inventory item to appear in the dropdown menu.
- To add a new account, follow the ‘Add account’ link to the chart of accounts. You will need to refresh the page for the new account to appear in the dropdown menu.
- To add a new currency, follow the ‘Add currency’ link to the organisation settings. You will need to refresh the page for the new currency to appear in the dropdown menu.
- You’ll need to attach a file from your computer or device, rather than from your file library.

I am hating this change. And why does it have to take up the whole screen when you look at the quote. PLEASE REVERT BACK to the old quote set up.
I agree just saw this new change and HATE IT!!!!! It is less user friendly and not liking this at all – I concur with Leanne CHANGE IT BACK
There are so many things Xero could have updated, things we asked for (so much for you listening to the clients who keep you in business) and we get this really hideous update instead. I think everyone has already covered what is wrong with it, from not being able to drag and drop files (we use this continuously to upload pictures etc, now each one needs to be saved as a file – very time consuming), to having the approve option now gone. It would have been great to have been forewarned about this – I cannot even recall if the Quote update was spoken about in the Xero updates training. Seriously Xero, what were you thinking? Give us the option to revert back to the old version.
This is the worst change in Xero in years. These new quotes are garbage, utter garbage. We are constantly adding new products, now that opens in a new window! It can’t be done inline. So then i have to go back and refresh the page for it to realise there is a new product. Do you realise how bad that is? There was not a lot wrong with quotes other than we should be able to import and export properly but this change is so bad.
Give me the old quotes version back now before I go and have a look at Myob. Seriously who thought this was the way to go.

This is awful. No option to insert spacing between lines to give a more professional look than being all grouped together. Tried to save it but it leaves the spacing out. Please give us an option of which way we would like to set out our quotes. No option either to print a hard copy once marked as sent unless you press update and print PDF
Why in the hell did you remove attaching from file library. This was one of the most functional parts of Xero. Scanning or downloading a document to a folder on each persons individual computer, and then uploading again to attach it is just backwards.
This Sucks. Going back to quickbooks if this isn’t back the way it way of better than this crap immediately.

This rollout is horrible. You basically just added the requirement to click on to things that did not require it.
We should at least have the option to roll back to the old version.

Dont like the new layout at all. Description column is too small & i have to scroll down a lot. Font is too big can poke my eyes! hahaha! Give me option to the old version pls…

I really really dislike this new editor. Why did it have to change? Surely you can update the underpinning technology but retain the interface that everyone likes. READ THE COMMENTS. This change is universally hated.
Please change back or I will look around for a better financial system.
This has slowed down the process of quoting
Please go back to the old layout. This is awful and it has now started changing quotes that have been sent to £0. There also doesn’t seem to be a save as draft option either which we use all the time.
Cons:
Terrible UX.
To advance from field to field you used to press the tab button. Now some fields require tab, and others require enter. Entering the account code (eg, sales 200) now requires enter, and seemingly randomly, needs to be pressed twice before it actually enters.
You have to manually add new line every time, this was automatic.
When you get to the end of the quote, you have to scroll all the way to the top to save it.
Everything is so massive, you can only see a few lines on the quote at a time. Having it full width also makes it hard to see everything at a glance, I’m constantly darting my head left and right to see everything, it feels like I’m courtside at Wimbledon.
Pros:
Being able to send an attachment alongside the quote is a feature I’ve been waiting for. (Please also add this to purchase orders!)
Conclusion:
If it means losing the attachment feature to go back to the old way then I would be happy to lose it again because raising quotes now is a soul crushing experience.
Hate the new format. Why change what was so straightforward? Is it keeping some jerk in a job to re-design? Best to sack them!
New version is definitely NOT an improvement!
Shame all the time spent on developing this wasn’t put to better use in developing the option of multiple delivery addresses for a customer – something that’s been requested MANY times going back several years.
Also disappointing that the only time Xero has responded to anyone’s comments on here is when it’s directing to something supposedly to help with this unsatisfactory update – no actual response regarding how we can revert back to the previous quote layout. Please would you explain how we can do this?
This new update is awful, you can’t change the contact details on a quote as you could before or amend the address at the quote stage. Instead you have to go in and change the master details.
As per the other comments please revert back to the previous version it was so much better. At least give the option to paying customers to revert back to the previous version – this new quote system takes much longer to input having to add line by line – very poor UX!
Can’t see any positive comments about this change and as other people have mentioned no warning about a new version it simply just appeared and isn’t a good thing – please change it ASAP.
Wow trying to complete quotes at 5 in the morning and once again someone has to reinvent the wheel and completely stuff up my day by making something that worked shit please reinstate the old system

OMG another hideous update from Xero – why can’t I make up my own mind which format I want to use? Do you know my mind better than me? Of all the wastes of time – how about giving us what we ask for instead of rearranging the deckchairs on the Titanic?
Could we not have the option to keep old version – change is good when it works and benefits you – This change has not been welcomed by my business. Please revert back as so many have requested. Please don’t do this in the future.

Not feeling this update at all:
1. Why are we limited to 3000 characters for the description – I realise the limit was in place in the old version but I cant understand why you would want to impose a character limit on describing services in a quote – just doesnt make good business sense!
2. You have removed the ability to click on the contact and change who the quote is addressed to. This is very annoying!!!. Does Xero think that companies only do business with one person in an organisation.
USELESS. Please bring back the old one asap. Waste of time. clumsy. why “fix” what is not broken?
Hi. I don’t like the new appearance. When I need see all, I need to see in one view. This way its not intuitive and it doesn’t help for work every day. I would like have the option of choose what appearance I prefer. Thanks!
Since the “upgrade” my quote terms don’t automatically populate the box. It asks me to edit the settings each time which does absolutely nothing! This NEEDS fixing
New version is not designed by someone who uses it. It is rubbish, does not automatically load new lines, does not auto extend item codes so you have to click on the box each time takes twice as long.
Agree with all comments above please give us the old quote system back. Make improvements not just changes to justify your job.
This has deleted the terms and conditions of our quotes so everything sent in the last week is now missing this.

Update is crap. More clicks to do the same thing , drafts now not saving default things, harder to read, more clunky to do things that were easy to do.

This update is terrible. I am not able to add space between lines. Comma between thousands is missing. Please revert the change or at least give us an option to switch between old and new version.
I don’t like the change.. I often edit the email I’m sending to as I send to several people in one organisation.. it doesn’t allow me to do it anymore and I use an iPad and I have to move the keyboard to see the quote
This so called update is so bad. It seems like the Cretinous Morons in the design department are living in some sort of IT fantasy world. Not only did you completely wreck the quote program, but you gave no notice that you were going to destroy it. Why don’t you get people to test it first and get feed back like the comments above. Wreckless, sloppy, and incompetent management of something that worked.. Yes there were improvements that could have been made, like having the address and phone number of the client when you search for the quote. However most businesses with half a brain will consult their users for a long time before making ( and warning them) of any changes. Tell your designers they are incompetent fools, and get them to wake up to the real world.
It does not work in Firefox, the screen keeps going blank immediately after it loads.
I do not mean to be disrespectful but could you not at least check a new feature is cross-browser before launching?

Xero must be one of the most tone deaf and out of touch companies in existence.
Read through your request – how many customers asked for a ‘new look quote” to help them make their quotes look prettier? In actual fact a beautiful quote directed at the wrong person makes precious little sense.
Xero is an over-priced under performing accounting system full of hollow promises and gaping holes. I am tired of reading about work-arounds to fulfill basic functionality – but not to worry is here is a lame new quote system that still does not allow you to address a quote to a specific contact but at least you have removed the thousands Seperator and my terms.
Please revert back to the previous format / template. This really is a backwards step.

I prefer the old page where you could add a new item while doing the quote. This new features is not user friendly as you have to add the item in a new page, wasting time. Please revert back or allow us the option ti choose the old feature.

This update is awful, completely user unfriendly but most importantly it seems to have effected my vat rates and I cannot figure out how to change back. On each line once I select the account department the Vat rate is coming up as 13.5% instead of 23%, I’ve just arrived back from holidays and I’m sitting here 3 hours after closing time trying to fix quotes that are now messed up.

I’m with the 400+ comments above who also hate the update! Less than a week since the ‘upgrade’ and the overwhelming negative response should be evidence enough that it’s not working for the majority of us. PLEASE show that your customers matter to you, and that you are LISTENING by giving us the option to revert back to the old quoting system. The current option is beyond awful!!
