Helping you win new business with beautiful quotes

Sending a quote is often the first digital interaction you have with a potential customer, so it’s important to make the right impression. We’ve made it easy in Xero – you can create a beautiful online quote in minutes, get customers to accept it on the spot, and quickly convert it into an invoice.

To continue improving your experience, we’re introducing an exciting new feature and fresh design to quotes in Xero. This is all part of our work to upgrade the technology that underpins our platform, so we can build new features faster than ever before.

Send files as email attachments with your quotes

In the weeks ahead, we’re rolling out a new feature that will allow you to send files as email attachments with your quotes. This means your customers can open attachments (such as terms and conditions, or a sales brochure) from the email itself, rather than via a web page.

This is a long-standing community request that will help you win new business and close the sale, by sending everything you need in one seamless communication.

The ‘Save’ and ‘Send’ buttons in quotes will also be located in the top right-hand side of the page, rather than below the quote. We’re rolling out this design across the Xero platform, so you may notice it looks similar to new invoicing and other upgraded features.

There are some other changes that you’ll need to know when using quotes in Xero. We know these changes to your workflow may take some time to get used to, but we are always here to support you if you need a hand.

  • To add a new inventory item, follow the ‘Add item’ link to the ‘Products and Services’ menu. You will need to refresh the page for the new inventory item to appear in the dropdown menu.
  • To add a new account, follow the ‘Add account’ link to the chart of accounts. You will need to refresh the page for the new account to appear in the dropdown menu.
  • To add a new currency, follow the ‘Add currency’ link to the organisation settings. You will need to refresh the page for the new currency to appear in the dropdown menu.
  • You’ll need to attach a file from your computer or device, rather than from your file library.

We’re always listening

The enhancements we’re making to quotes is just one example of how our upgraded technology is helping us deliver new features that you need.

We’re committed to listening to your feedback and continuously improving your experience, so let us know what you think and we hope you enjoy using quotes in Xero to streamline your work and make it a beautiful experience for your customers.

This new update is extremely frustrating. it is so slow at registering what is typed. Quotes are taking me twice the time. not impressed.

I HATE IT – new age crap – I want the old version back – I am still on the old version of the other thing that you changed. Can’t cope with learning new shit – who moved my cheese. The printed invoice looks the same?????? Stressed small business owner – come and spend a day with me if you want some feedback – normally Xero is brilliant

I notice that now the Quotes screen has been ‘updated’ I am unable to manually add an email address to send it.

I don’t find this change helpful at all, as when sending a quote or an invoice (this is the same problem when using the new invoice screen) to a large company not all email addresses for that company are loaded into the contact. Even if they are loaded into the contact unless ‘include in all emails’ is ticked they can’t be used either. Then I would need to delete all of the email addresses that are not applicable to that particular quote, hmm… so now I can’t send the quote until Xero replies to my query which could be 24 hours or more. Not good for business!

Probably need to use the money for useful updates to Xero rather that the ridiculous adds on TV!

Came here to find out if these changes were intentional or a bug. I used to be able to create good looking quotes, now I can’t even put any spacing between rows. I have to add a full stop on its own & it looks like it’s my first time writing a quote or I’ve not cared enough to proof read it. So much for a beautiful quote! Please give us the old option back until you address these obvious issues. It’s making business harder not easier

Please reinstate the ability to add file uploads, it’s an invaluable way to keep calculations and notes with the quote.
Also, would be great if quote title and summary fields can be copied across to the invoice.

I am fustrated with the new quoting update. I sometimes have to print out a quote. Its layout is spread way to far over the page and now I find that I am using two pages instead of one page for a simple quote. This is wasting paper. I please want an option to compact the quoting layout or I want to use the old version.

“We’re always listening” it says, but how much time has passed between the new broken quotes being launched and today? How many comments have they had telling them what is wrong, and what doesn’t work. Nothing has been changed or fixed. This is a nightmare.

Please refer to my earlier post on June 22nd 2022.
I have just noticed that the Quantity on Hand is there when creating a Quote on the mobile App !
Please can we get this back on the Laptop/Desktop Application – it’s still hurting us badly when quoting.
Thanks in advance.

Can you please STOP telling us these so called up- grades are improving Xero and that we are all adverse to change.

Xero is becoming a hinderance to so many people and all of these people will go to other providers who are both cheaper and possibly better for their business PLUS have proper customer service channels where you can raise an issue.
I expect that the major exodus will be at the end of this financial year when the Technology government grant has ended and when it is an easy transition for the purposes of financial reporting.

Certain features are more of a hinderance – depending on the business structure BUT its time that XERO listened to its customers!
