Easy bill and receipt capture included in Xero from today with Hubdoc

Posted 8 months ago in Small business by Ann-Lisa Niemann

The big day is here! Hubdoc is now included in Xero Starter, Standard and Premium plans (Xero Early, Growing and Established in the US).

How does Hubdoc help you run a successful business?

One of the biggest challenges for small business owners is to keep their books up-to-date and understand their financial position in real-time. Do you have enough money in the bank this month? Which parts of the business aren’t profitable? Many people are looking for answers to these questions in order to build a sustainable business.

Hubdoc is Xero’s bill and receipt capture tool that helps businesses do their bookkeeping more effectively. This helps you answer these questions and come up with a strategy and plan ahead.

How it works

When you use Hubdoc and Xero together, it’s easy to get your bills and receipts into Xero, automate data entry and simplify the process for matching transactions with your bank feed. The result is a better handle on your financials, and gives your advisor the information they need to offer insightful business advice. All the while, you’re automating some of the manual processes that are traditionally time consuming.

“Hubdoc is absolutely amazing. I own two fish and chips shops in Queenstown and Wanaka and love using Hubdoc. It saves me hours and is so efficient,” says Anna Arndt – Erik’s Fish and Chips, New Zealand.

Hubdoc is a Xero solution, so setting up your Hubdoc account is easy from within Xero. Next time you log into Xero, you’ll find Hubdoc in the drop-down menu. Clicking the button takes you through a few easy steps. Before you know it, you’ll start saving time by having Hubdoc as part of your day-to-day bookkeeping toolkit. Download the Hubdoc mobile app and get up and running by signing in with your Xero login.

Hubdoc allows you to upload bills and receipts using your mobile, drag and drop from your desktop, send via email or scanner. Once uploaded to Hubdoc, the key data is extracted before the transaction is published to Xero, with the original document attached. Transactions are matched with bank feed transactions in Xero, providing an accurate view of how your business is doing.

All of the bills and receipts processed through Hubdoc are securely stored in the cloud. This makes it easy for you and your accountant or bookkeeper to get a hold of them when needed. Plus, there’s no need to keep any paper receipts or bills around anymore.

Useful tips and tricks inside Hubdoc

Not sure you’ll get the hang of it? Don’t fret – once you create your Hubdoc account, you’ll find useful tips and tricks on how to get the most out of using Hubdoc.

We also have a bunch of courses on Xero Central to help you learn how to put Hubdoc into practice in your day-to-day work, and how to automate some of the processes. Sign up for the webinar coming soon to learn more.

Got an advisor? Talk to them too. They’ll be able to help you understand the value of using Hubdoc with Xero, and how it helps your business.

Hi we have more than one business – head office and 3 holiday parks – how do we connect to Hubdoc for each business

I have connect the head office ok, but when I try to connect the others – Hubdoc swaps back to the head office account.

Xero quoting is rubbish, Xero invoices are rubbish, Xero contacts is rubbish. Why don’t you fix what you have first. Nothing beautiful about Xero

Hi James, we are so sorry to hear that you feel that way. We do our very best to make sure the Xero experience is beautiful but have taken your feedback onboard. If you have any suggestions on how we can improve our quoting, invoicing and contacts – we would love to hear them. Please share your thoughts with us on our Xero Business Community – https://community.xero.com/business/topic/23/. Thanks, BA

I presume all the images of documents will be stored within Xero. Will all this storage of documents slow the system down?

Hi,

I have been using both Hubdoc & Reciept Bank to compare…. and there are some clear differences when it comes to the app!

As I am on android, the experience between the two have been interesting.

Hubdoc seems to lack in a few places compared to Receipt Bank

– Reciept bank opens very fast including the choice to “open on camera”.
(Like most people as we are on the go when it comes to keeping track of receipts once we have received a receipt from a cashier or supplier its critical to be able to upload that document ASAP! so it can do its thing to extract data while you continue to go about your day or mostly for me get into the car and drive. )

XERO PLEASE CONSIDER THIS IF YOU AIM TO BE MORE OF A LEADER!

– Reciept Bank allows to categories once image is loaded – This means I can quickly code the purchase

XERO PLEASE CONSIDER THIS IF YOU DO’NT WANT YOUR COMPETITORS TO HAVE AN EDGE OVER YOU!
