Xero Practice Manager released

Today we released Xero Practice Manager, our online practice management solution, delivering job, time and invoice management to accountants and bookkeepers.

This release is the culmination of months of effort by our product development team and is a strong demonstration of our investment in our partner community. Xero Practice Manager is currently available at no software license cost to members of the Xero Partner Program who have Silver status or above.

Over the past few weeks we have previewed several of the key features of this release, but today marks the general availability of the solution. For a complete overview, take a look at the video below.

By connecting client accounting (Xero itself) to Practice Manager, accountants and bookkeepers can get the benefits their clients enjoy by connecting different data sources. Like their small business clients, they become more efficient, get better control of their cashflow and have better visibility over their business.

Practice Manager also gives the ability to move from the traditional hourly pricing model to a fixed-fee, value-based pricing model. It’s not a forced migration — if you want to use Practice Manager to bill based on time, the functionality is there. But fixed-fee arrangements are also available for professionals who want to take advantage of the growing customer demand for this pricing model.

Together with Workpapers, Practice Manager is a core part of Practice Studio, our vision of integrated practice solutions for accountants and bookkeepers, delivering tangible business value while embracing the connectedness of the Xero platform and the ability to utilize a single ledger.

Hey Guys – what have you done with the Stop/Start timer?

The link to the Client Notes /Documents works OK, but there is no prompt to show that there are notes or documents against that client. This means currently I have to go in to each client to see if someone has left a Note, rather than how this info previously “came to me”.

Also, it appears the Invoices tab under Practice only shows Debtor related info. There is nowhere I can see where it shows what we have billed for the month. I assume I have to create a report now.

Hi Guys

Great to see the development moving forward and the new look. Looking forward to new time saving features in the future. I like the client Filter and would love for this to have some more filters like specific groups that would apply across the system so when you went to tax statements / returns /jobs only these would show. Also hanging out for the timer.

We’ve given the new look Xero Practice Manager a good workout today, and my verdict is … very happy! We were pretty nervous about how disruptive this release would be to daily processes. But there is enough new to be exciting whilst leaving some things the way they were for now. It looks like a very solid release. I like the way that changes are being introduced progressively in this and future releases, and moving between pages that have the new user interface and pages that are still in the old style is seamless. Love the global search feature, and being able to access contact details, jobs and time from there. Client groups is great. Plenty of ways to create an invoice – that’s cool. So thanks Xero team – well done.

We’re also lamenting the loss of the timer. Also, it does seem, as Warren suggested, that there isn’t anywhere now to see at a glance what has been billed for the month. Under Invoicing, there’s only ‘Draft’, Awaiting Payment’, and ‘Overdue’. Monthly billings is probably one of the most critical KPIs for a practice, and I’m sure it’s one that is monitored by most on an almost daily basis. Are we missing something?

@Mark @Jeremy – Thanks for the positive feedback.

@Warren @John @Tim – To be honest this is an oversight on our part. We will look to add the “Invoiced this Month” total back to the Invoice Manager Dashboard in an upcoming release.

@Cassandra – The Start/Stop Timer not being available in the first release was communiciated on several occasions over the past five weeks. I apologise if you missed this in any of our communications. If you require the Start/Stop timer then please contact Support as we can disable the new user interface on your account until the Start/Stop timer feature is released. We expect it to be available in the next 2-3 months.

A couple of enhancement suggestions so far (some of these existed in the previous version and became important to us):-

Invoicing
– for each tab (Draft, Awaiting Payment, Overdue) have totals
– in Overview, have Current Month, maybe Previous Month and YTD billing (ideally ex GST) – referred to in part in other blog comments above

Clients
– Jobs tab – have total of WIP on each job (helps to prioritise workflow & billing)

Why is this only available for xero partners and not everyday clients ? This would be super helpful for small business owners offering services …

@Rudolf – We’re working on upgrading WorkflowMax, our Job Management solution to have the same new user interface and features that we’ve just released for Practice Manager. We hope to be in a position to annouce a release date for this within the next couple of months.
