We’ve been working on your Workpapers workflow

It’s a busy time for the Practice Studio teams: Practice Manager has some major updates coming soon, and after our recent milestone release the new Xero Workpapers team is full steam ahead.

Today we released an update to Xero Workpapers that’s all about helping you manage your firm’s workflow during compilation season.

Status-change notices

Your practice can now opt to automatically send email notifications to staff whenever action is required on a workpaper pack. And it’s all driven by a new button in each pack:

(The export button that used to sit in that spot has a new home on the Workpapers tab)

Because each firm has its own way of working, we’ve made it so most of these workpaper pack statuses can be specified manually by you and your staff.

Tracking this status information makes the Home page more powerful too: you can now see (and sort by)  the status of all your workpaper packs, while also seeing at a glance a summary of what’s going on within each pack.

There are more details about the changes to the home page in the Xero help section.

Other good things

As usual, we try and make as many small improvements as we can in each release. Today’s highlights are:

  • We’ve redesigned the practice settings screen (where you can manage your status change notifications).
  • PDFs you export now include useful status and approval information on the cover page and in the footer of all pages.
  • You can search through all your clients much more easily when creating a new workpaper pack.
  • Manager and partner approval is now instant (we got rid of the need to add a review point when approving a workpaper).

There’s a lot of work going on behind the scenes in Workpapers to make it a more global product that’s also more closely integrated with the core Xero applications.

Workpapers is a core part of Xero Practice Studio, our suite of free applications designed for our Silver Partner accountants, bookkeepers and financial advisors.

Is this available to the global Xero partner community?

Is there any way to create your own pack with custom information in? For example, the engagement letter/pack is great, but is there anyway to design a Money Laundering Check-list form to email to clients that they can fill in, attach two forms of ID then send back?
I want to create a paperless practice and this would sure help in doing that!

Hi Gary,

Sounds like Client Queries is what you need.

With those you can ask clients to upload documents, or get their responses directly from the Workpapers queries portal.
