Xero Touch – accounting app for mobile

Xero Touch, our mobile app, is now available for free in the App Store.

This is the same accounting app for iPhone, iPad and iPod Touch that’s also available when you login at m.xero.com. However, there are a few big advantages that come with installing the official iPhone version:

  • Take photos of receipts and attach them directly to your expenses
  • Use a 4 digit passcode to login quickly
  • It runs faster, because the app is stored on your phone

We put together a fun video to illustrate some of the useful features of the app…

A lot of thought went into the design of our iPhone accounting app, focusing on ways to streamline the mobile experience: Quickly check your balances, quickly draft invoices with a few taps – even approve & send invoices straight from your phone, add expenses just by taking a photo of a receipt, tap to call customers & quickly add contact notes.

We think you’ll find it’s very smooth & snappy.

We also made the accounting app available on the iPad so you can get the same streamlined experience on the bigger screen. As always, you can still use the full version of Xero from your iPad (which we plan to make a bit more touch friendly).

Even though Xero Touch is available in the App Store, under the hood it’s running our standard HTML5 mobile web app. A big advantage of being a web app is that the data on your phone and the data in your accounting system are always in sync.

It was a slight ordeal getting the app thru Apple’s notorious approval process, but that’s a story for another day. With the iPhone version now approved our team is working hard on getting a version into the Google Android app store.

Let us know how Xero Touch is changing the way you do business. And be sure to leave a recommendation on the App Store. As always, let us know what other features you think would be useful.

Love the 4 digit pin in place of email and full password. Makes it much easier to login on a mobile device.

Keen to hear more about your app store approval issues. Did you use Titanium for compiling the app or something else? Definitely need another blog post about the whole experience.

@mark we’ll do a separate post on the saga of the app approval process. We developed the app with Sencha + Phonegap which Craig has detailed here http://blog.xero.com/2011/02/xero-touch/

Great for a first release, look forward to updates. Still a bit buggy – my iPhone just had the scrolling “loading” graphic for hours since logging in, only way to get rid of it was to restart the phone. When it’s working it’s great though.

Good stuff with having an iPad version too =)

Very good initiative. Please can you move on the Android App too (Android phones are huge sellers, greater than the iPhone).

I was very dissappointed to hear that Xero won’t be working on an Android or Windows Phone 7 app. Android is now at least as relevant as the iPhone, and Windows Phone 7 is an emerging player in the enterprise market.

There’s a certain irony that Xero is working toward the Cloud Office space in conjunction with Microsoft while refusing to natively support this extraordinary mobile platform that’s simply ideal for enterprises.

Great to see the new app. I run my business credit direct throught Xero so that all small items are simple (and fast) to reconcile, if I could add a simple pic of the reciepts to each as I reconciled that would be amazing! – Nice work anyway

You can get almost all of the same functionality as this app just by going to http://touch.xero.com so that works fine on Android / WP7. The only advantage to the iPhone app is the quick login and camera, which can’t be done through mobile web.

I think Xero is going about this the right way. Since they’re using Phonegap I assume it’s not too tricky to get an Android version out soon.

It is a very good start and will be good for those that do lots of expense claims.

Going forward it needs more functionality. Reconciling being the main one though not sure how this will work on the limited screen realestate. An iPad version should be done that has all the functionality of the full website.

Looks like a good app, but would rather see you guys work on improving the main Xero functionality. I think it’s about time Xero has proper inventory (detail) tracking and costing. Love Xero but we’ll have to transition to another platform in the coming months due to lack on inventory features. Not every business is a service business. Something to consider.

Same as Andrew, would need inventory list to be available to make invoicing quick and easy. The main site is still quicker on the iPhone. But it’s a great step!

Hi tjfsu,
Gareth from Unleashed here. If you are needing an inventory solution that integrates directly with Xero, we would be happy to show you our solution and step you through its benefits. It doesn’t cost a lot, and could be exactly what you need, and help avoid a costly change of accounting systems too. Feel free to call or email us, we would be happy to accommodate you.

Thanks for all the feedback everyone.

As for the future direction of the app, your feedback helps determine the priorities. So please keep the feedback coming.

As several people pointed out, you can use Xero Touch on Android right now. But we’ll be optimizing and releasing a dedicated Android app asap. Again, your feedback helps us set the priorities for what we concentrate our efforts on.

Yep being able to include inventory items would let it be used as an on-the-road sales tool (have reliable confirmation that unleashed is great otherwise).
I’d like users to at least be able to comment on transactions, if not reconcile them.
Uploading receipts for direct reconciliation with transactions, i.e. bypassing expense claims without cheating, that’d be might handy too.
I blame you entirely Xero that our expectations of accounting software are so darn high now :p

Xero, you’ve got my vote for the android version. Recently bought an Asus transformer and can’t wait to try out Xero Touch on it. Btw, with Asus coming out with the Padfone – http://event.asus.com/mobile/padfone/, the timing seems right for Xero.

Mark Berry
2 August 2011 #

I think it’s a good start, bit I think it’s a shame the iPad version makes no use at all of the larger screen: it could be so much more, and maybe will be?

My biggest problem though is the 4 digit PIN. I have two logins for completely separate companies, and having logged in as one and entered a PIN, there’s no way to logout and then login with my other credentials. I’ve had to use the only obvious option and invite myself as a user from one company to the other, but I really wanted to keep them completely separate.

Also, no support for Xero Petsonal?

Mark Berry
2 August 2011 #

BTW, I’m getting a lot of error messages when I try to load a company after logging in.

Philip Fierlinger
2 August 2011 #

@Mark re having two separate logins, there is a simple workaround.

1) Login and create a PIN.
2) Re-start the app and tap the “Forgot it?” link before you enter the PIN, which takes you to a standard login.
3) Login with your 2nd account and set a new PIN.

Now you can use either PIN to login.

(we’ll contact you offline about the error messages)

Loving the app, however it would be fantastic if the expense claims section supported multi-currency. I tried this out in the demo account but the functionality didn’t seem to be there? Am I missing something?

Specifically I’ve got a client who’s a travel journalist. He’s constantly on the road and incurring expenses in various currencies by cash. At the moment i’ve got him snapping photos of the receipts into Evernote which are entered into Xero at a later stage (with a manual conversion to AUD).

What I’d love for him to be able to do would be upgrade to the large plan and let Xero handle the currency conversions. So he can actually capture his rickshaw receipts in Japanese Yen straight to Xero.

Any plans to include multi-currency?

Hi Andrew,

Regarding multi-currency, the problem is the amount that hits your bank statement can be at any rate and include other fees. So I always end up having to overwrite anyway. Haven’t worked out how to solve that yet.

Craig Walker
3 August 2011 #

@Chris I’m very sorry but while the WP7 operating system is really impressive the WP7 browser is pretty useless. Currently it’s no better than IE7 is on the desktop.

By choosing to use the latest web technologies to build Xero Touch we’ve been able to target more than one device (which is what would have happened if we’d gone native only), but unfortunately WP7 doesn’t yet have the capabilities we need to make it all work.

Fortunately the next version of WP7 (codenamed Mango) is a big upgrade and looks really great but I wouldn’t expect a WP7 version of Xero Touch till early next year.

Cheers for the reply. In this case no amount hit’s the bank statement. Client is a sole trader and expense claims are “paid” against funds contributed.

Any expenses he’s incurring through the bank account are recorded separately.

Great start but very disappointed that I can’t reconcile items in downtime when out and about with my phone. Great use of time spent in queues!
Using my fabulous Bank App – ANZgoMoney which does everything I need, I can’t see that this is a big requirement (apart from developer time of course).
If ANZ can do it why not Xero?

Regarding the feedback on doing a reconciliation on the phone – there are two major types of reconciliations:

A) Review and approve
B) Slice and dice a combo of transactions

A is something we’ve been exploring. B probably won’t happen any time soon.

Again, thanks for all the feedback. It really helps. Keep it coming.

Hi, I’ve got two further major problems with Xero Touch.

First, and critical because we can’t use it with this problem, when creating an invoice it’s impossible to add a new tracking option. We use tracking to keep a rudimentary track on job costs, and the first invoice is the “prompt” to add a job number into tracking. I understand that tracking was probably not imagined for job costing, but it is what support suggest for our type of use, and it is our only option given the cost and over sophistication of the available addons.

Second, there appears to be no way to add a credit note? I accept that Touch has to be limited compared to full Xero, but it strikes me as such a no brainer

Overall I’m finding Touch too limited. About 50% of the time I’m having to abort what I’m trying to do, and go to full Xero instead, which defeats the object! Even just a “go to Xero full” link inside Touch would help!

Touch adds a real benefit to clients on the road who want to invoice as soon as they see a client, we have set up items to save all the typing on the phone screen as builders tend to have fat fingers, I was surprised when this wasn’t available on touch. Any idea when this will be added as many seem to be requesting it?

Nigel
27 September 2011 #

i run my own business, and I when i have to spend money out and about I don’t spend it personally and then get it reimbursed as expenses – I spend it on the company debit card, and then need to put the receipt in the file against the transaction.

Please could Xero Touch help me with this? It must be common behaviour?

The expenditure will of course be picked up by the bank statement, as I don’t want to waste time entering a Spend Money transaction if I don’t have to. But it would be good to have the receipt uploaded, perhaps with just a value added to it, so it could be auto-suggested? Or if that’s too complex then at least the facility to add a Spend Money transaction with a receipt photo.

Hi

Just wondering if we have a timeline for the Android App. It appears that you are putting one together but an idea of release would be great.
Weeks? Months? Years??

Philip Fierlinger
28 September 2011 #

@Nigel yes – Xero Touch will create the transaction for you with a photo of the receipt attached. You’ll need to approve the expense in Xero, which can then be auto-matched with your credit card statement. It would be even simpler if you could approve it straight from Xero Touch, so that’s something we’re looking into.

@Paul – we’re hoping to have the Android App out before Xmas.

@Philip – I’m in the same boat as Nigel wanting to add an expense (and receipt image) as Spent Money and not needing to be reimbursed as using company account. Could you please share the tips on how this is done. Thanks

Philip Fierlinger
5 October 2011 #

I’ve been looking into when we’ll have attachments on spend/receive money. Thanks to your prodding, we might be able to get it in sooner rather than later.

For now, if you want to attach a receipt scan/photo you need to do it as an expense. Doing it as an expense is technically just a another way to do spend money that makes it easier to track things that were expensed to the business by anyone – but it’s true the current expense claim process is too clunky for your situation. We have a MUCH better expense claim feature designed, but a lot of other features are ahead of it in the pipeline.

Jarrah
5 October 2011 #

Thanks Philip, It’s great to hear so much development is happening constantly. Is there a way I can use the expense option (iPhone App) say when buying fuel then approve it without reimbursing myself.

Philip Fierlinger
6 October 2011 #

@Jarrah Yes.

With expense claims, you can choose to do it either way:

• Authorize and pay the reimbursement to a contact, all at once
• Or, authorize the claim and wait until payment hits your bank account – then reconcile it to your expense claim

In the case where you wait for the payment to hit the bank, you don’t need to specify a contact – it will default to the user name of the person who submitted the expense.

Either way, you’re coding the transactions normally, the same as any standard transaction. So from a tax perspective, the expense gets booked to the standard accounts (ie, Travel). The fact that the contact is shown as a person rather than the business has no impact on paying taxes for the business or for the person who was “reimbursed”.

From a reporting view, it means you can’t track money spent with a given vendor (ie, Yellow Cab), but you can track expenses per employee and still track it by the account code (ie, Travel).

Again, we’re aware the expense claims workflow is clunky and a MUCH better design is in the pipeline.

James Cooper
12 October 2011 #

Touch is great, except it doesn’t make a lot of sense on the iPad, as the larger screen makes this quite useable with the full online version of Xero. The only issue here is why have Xero chosen to use flash for the graphs, etc, on your homepage? Surely a more platform-friendly JavaScript option would have been better, or even a dynamically generated image? Obviously flash is a no-go on the iPad, but I also prefer to have flash turned off on my desktop too, as it is notoriously buggy.

Jason
31 October 2011 #

Hi Philip,
Is there any time frame on the ‘much better’ expense claim feature? Also is there anything in the pipeline for being able to add expense payable with a copy of the receipt attached from the Xero Touch? I am a contractor so going around the expenses route is a long winded option for me…
Cheers

Jonathan
31 October 2011 #

I have been using the application on the ipad and iphone and think that this has huge potential. It is a real shame that Accounts payables are not included in the application. This makes the utility of the application that much more limited as a management tool. Do Xero have any plans for expanding the application in the near future?

When uploading an expense receipt, I can’t seem to input anything in the “from” field, so I end up with a “blank” on the Current Claim Screen once I’ve saved the expense receipt. The app is pretty basic, let’s be honest, really needs proper offline solution and better info. Take a look at invoice2go app, which is quite a cool sales ledger app – that is the kind of thing clients love, shame it only syncs with quickbooks. Can’t Xero just buy out invoice2go?

I vote for the android app as well.

The iPhone / iPad app doesn’t seem to work with a Xero Personal account. Will I be able to use the app with a Personal account at some stage?

Ralph, you’re right the Xero Touch app is for business accounts only. But stay tuned for an app to do your personal accounts.

Any idea on when Windows Phone App will be created? as the fastest growing phone in the market and the most secure enterprise device, I am surprised this has not been created yet.

Second the request for a Windows Phone app. The design philosophy ought to be right up Xero’s alley.

Hi @David and @Chris – absolutely acknowledge that we have customers using Windows Phone devices and wanting to use Xero on them – but right now the stats we’re seeing don’t justify diverting our resources from improving and extending the iOS and Android apps, which are by far the handsets that the vast majority of our users have. Mobile’s a fast moving space and things can change in a heartbeat – so we’re not ruling out Windows Phone at all. But we’ll be focussing on iOS and Android in the short-to-mid term.

Hi there. My 4 digit PIN number for xero touch has died on ipad. Can you please explain how to reset it? Maybe it’s blindingly obvious, but I seem to be blind. Cheers, Richard.

Hi – loving the new upgrade. Is it possible to enter “Bills” in Xero Touch? I use the invoice function but would like to enter invoices from suppliers also. Thanks. Jo

…can you talk to blackberry too about this app…please? Some of us have remained loyal to BB and would love to be able to use this feature.

Hi. Agree with a couple of the comments about adding “Bills” to in the app, a feature that appears to be missing, and would be useful.

Hi @Kevin – we’re looking at including Bills in a future release. Also, with the next iOS release you will be able to upload any document you like into your Files Inbox to attach to anything you like when you’re at your computer later. This is coming very soon.
